This guide provides instructions for professors on how to issue academic prompts or referrals through Bay Advisor. After logging in, faculty can select a student from their courses and access their overview page to issue a prompt. Various options are available, including Positive Alerts, which send encouraging messages, and Academic Alerts categorized by level, each with different follow-up actions. Referrals can direct students to specific resources, with automated messages prompting them to seek assistance. The guide emphasizes the importance of adding comments to aid advisors in supporting the student effectively.

Managing a Case from an Academic Prompt issue academic alerts through Bay Advisor, a feature introduced by Academic Programs and Services (APS) in response to faculty concerns about supporting students outside of the midterm progress report campaign. Initially rolled out in fall 2019, the process is now available campus-wide. Advisors receive notifications via email when a case is assigned to them, allowing them to access and manage all open cases through Bay Advisor. Each case is typically assigned to the advisor of record, and collaboration among advisors is encouraged for effective student support. Advisors can add notes and update case statuses, and they must close cases with an explanation, ensuring that communication is maintained with the alert issuer. Closing a case also triggers an automated email to the professor, summarizing the outcome and any relevant comments.

Referral: Automated Emails to Students outlines a system for sending automated referral emails to students and resource centers. It describes how these emails can guide students to campus resources, support services, and academic opportunities, with the goal of improving their engagement and success. The referred to center also conducts its own outreach to the student once the referral is issued.

Creating Student Lists can be vital to effective case management for advisors. This resource is intended for use by faculty and staff advisors, and administrators to facilitate academic planning and student support initiatives.

Bay Advisor is a great facilitator of communication with students. The Texting feature is open to all advisors, but please read the texting guidelines first. Users are encouraged to follow these guidelines to ensure effective and professional communication. Advisors are advised to update their Bay Advisor Availability Tab by inserting their Zoom Personal Meeting ID (PMI) and password in the URL/Phone number and Special Instructions for Students sections. This ensures that the Zoom meeting details are included in automated appointment confirmations and reminders sent to students. Advisors should also adjust Zoom settings to use their PMI and match the password with what is posted in Bay Advisor.
